1.Who we are

PixelApps (ABN 62 235 102 571) is a digital studio based in the Macedon Ranges, Victoria, Australia. We build custom software, marketing websites and AI solutions for Australian businesses.

This policy explains how we collect, use, store and disclose personal information. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2.What we collect

The personal information we collect depends on how you interact with us:

  • Enquiry and quote forms — your name, email address, phone number, project type, budget and message, along with the page you enquired from and any campaign (UTM) parameters.
  • Small Business Plan signups — your name, business name, email, phone number, preferred contact method and the details you provide in your project brief.
  • Freelancer applications — your name, contact details, skills, experience and portfolio links.
  • Client work — correspondence, files, content and account or access details you give us so we can deliver your services.
  • Billing — names, business details and transaction records. Card and bank details are processed by our payment processor, Airwallex; we do not store full card numbers.
  • Usage data — pages visited, approximate location (region-level), device and browser type, and referring pages, collected through the analytics tools listed below.

We only collect personal information that is reasonably necessary for our work. You can browse this website without telling us who you are.

3.How we collect it

We collect information directly from you when you fill in a form, email us, call us, or work with us. We also collect limited technical information automatically through cookies and analytics tools when you browse this website.

4.Why we collect and use it

We use personal information to:

  • Respond to your enquiries and provide quotes.
  • Deliver, manage and improve the services you have engaged us for.
  • Invoice you and process payments.
  • Send service-related communications, such as your monthly plan report or project updates.
  • Send occasional marketing where you have asked for it or where the law allows — you can opt out at any time.
  • Understand how people use this website so we can improve it.
  • Meet our legal, tax and accounting obligations.

5.Analytics and tracking

This website uses the following analytics and measurement tools, which may set cookies or similar technologies and collect usage data as described above:

  • Google Analytics and Google Ads (Google) — site usage and advertising conversion measurement.
  • Meta Pixel (Meta) — advertising conversion measurement for Facebook and Instagram.
  • Microsoft Clarity (Microsoft) — anonymised session recordings and heatmaps used to improve usability.
  • Umami — privacy-focused website analytics.
  • Vercel Analytics — performance and visitor metrics.

You can control or delete cookies through your browser settings, and you can opt out of Google Analytics using Google’s opt-out browser add-on and of personalised advertising through your Google and Meta ad preferences. Blocking cookies will not stop this website from working.

6.Who we share it with

We do not sell personal information. We share it only with:

  • Service providers who help us operate — Supabase (database), Resend (transactional email), Airwallex (payments), Vercel (hosting) and the analytics providers listed above.
  • Professional advisers such as our accountant or lawyer, where needed.
  • Regulators, courts or law enforcement where we are required or authorised by law.

These providers are only given the information they need to perform their function and are expected to handle it in accordance with their own privacy obligations.

7.Overseas disclosure

Some of our service providers — including Vercel, Supabase, Resend, Google, Meta and Microsoft — store or process data in the United States and other countries outside Australia.

By using this website or engaging our services, you understand that your personal information may be disclosed overseas. We take reasonable steps to work with reputable providers that protect personal information consistent with the Australian Privacy Principles (APP 8).

8.How we protect it

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure — including encryption in transit, access controls, and limiting access to those who need it.

No method of transmission or storage is completely secure. If we become aware of a data breach that is likely to result in serious harm, we will assess it promptly and, where required, notify you and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches scheme.

9.How long we keep it

We keep personal information only for as long as we need it for the purposes described in this policy, or as required by law (for example, tax and accounting records). When it is no longer needed, we take reasonable steps to delete or de-identify it.

10.Access and correction

You can ask to access the personal information we hold about you, or ask us to correct it if it is inaccurate, out of date, incomplete or misleading (APPs 12 and 13).

Email jayson@pixelapps.com.au and we will respond within a reasonable time — usually within 30 days. There is no charge for making a request.

11.Marketing communications

We send commercial electronic messages in accordance with the Spam Act 2003 (Cth) — only with your consent or as otherwise permitted, always identifying us, and always with a working unsubscribe option. You can opt out at any time by using the unsubscribe link or emailing us.

12.Complaints

If you believe we have breached the Australian Privacy Principles, please contact us first at jayson@pixelapps.com.au and we will investigate and respond within 30 days.

If you are not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or by calling 1300 363 992.

13.Changes to this policy

We may update this policy from time to time. The current version is always published on this page with its “last updated” date, and material changes are highlighted to active clients by email where appropriate.
